The levers

Five things that move your quote — and how to work them.

  1. Headcount and pace

    A 200-guest market booth and a 1,200-attendee conference are different machines. More guests means more presses, more crew, and more blanks staged — but the cost per finished piece usually drops as volume climbs.

  2. Garment selection

    A Gildan tee, a Bella+Canvas 3001, and a premium hoodie can sit $4 to $30 apart before a transfer ever touches them. Mixing one hero garment with an affordable volume piece is the classic budget play.

  3. Design menu depth

    Three curated designs run fast and cheap. Fifteen designs with name personalization run slower and need more prep. Both are great — they're just different quotes.

  4. Hours on site

    The base window covers most single-session events. Festivals and multi-day trade shows add staffed hours at $250/hr, and multi-day rates get friendlier per day.

  5. Venue logistics

    Ground-level load-in with nearby parking is baseline. Union docks, long pushes, or overnight security needs don't scare us, but they belong in the quote, not as surprises.

Worked example

A 300-guest company celebration, roughed out.

Full station with two presses, four-design menu, Bella+Canvas 3001 tees plus a tote option, five hours on site in Irvine: that lands in the $5,000–$6,500 range depending on final garment split. The same event moved to a Las Vegas resort adds the $900 travel fee and any resort dock requirements. We'll always show the line items, so trimming to fit budget is an edit, not a renegotiation.
